Event Project Assistant

Responsibilities:

This role will be involved in physical and hybrid events in 2 manners

  1. Working as part of the company’s marketing team and under the supervision of the Marketing Manager, the candidate will assist in
    • Co-ordinate with the event organizer on participation formalities, including but not limited to move-in, move-out, internal staff briefing and EMF claims
    • Create artwork and co-ordinate production of display materials with 3rd party vendors
    • Be able to handle basic on-site & in-booth duties such as reception, simple company introductions and meeting scheduling
  2. Assist the Account Manager and/or the Project Manager in the implementation of customer events:
    • Assist with event planning and execution to ensure smooth operations (on site inspection, on site support handling event issues)
    • Coordinate with vendors, obtain quotes, and negotiate terms for services such as venue rental, equipment rental, catering, etc. Follow up on execution progress to ensure timely completion
    • Actively participate as a team to define required event flow and operational details by helping catch gaps, if any
    • Handle administrative tasks related to the event, including registration, ticketing, setup, and teardown
    • Collaborate with other departments or team members to coordinate various aspects of the event, such as working with the marketing team for promotion and working with the administrative team for document handling and contracts
    • Collect and organize event-related data and feedback, prepare reports and evaluations to measure event effectiveness and improve future event planning
  3. Other duties as assigned by supervisor

Requirements:

  • High Diploma and above Marketing/Communications/MICE-Tourism/Hospitality or other relevant disciplines. Relevant work experience to the above preferred
  • Strong organizational skills and attention to details. Must be able to multi-task efficiently. There will be occasions where projects overlap, and candidate must be able to work under pressure when called for
  • Excellent verbal and written communication skills, ability to effectively communicate with vendors, team members, and participants in English, Cantonese and Putonghua
  • Coordination skills: Ability to coordinate work and interests from multiple parties, resolve conflicts, and reach consensus
